How to Run Effective HOA Board Meetings

Board meetings don't have to be contentious or unproductive. With the right structure and preparation, your meetings can be efficient, collaborative, and actually enjoyable.

The Foundation: A Good Agenda

Every effective board meeting starts with a well-prepared agenda distributed at least 48 hours in advance. Include time estimates for each item and stick to them.

Parliamentary Procedure Basics

Following basic parliamentary procedure keeps meetings orderly. Key rules: one speaker at a time, motions require a second, majority vote decides (unless bylaws specify otherwise).

Managing Difficult Discussions

Controversial topics like fee increases or rule enforcement can derail meetings. Keep discussion focused on facts and policy, not personalities. Use a "parking lot" for off-topic issues.

Action Items and Follow-Through

Every meeting should produce a clear list of action items with assigned owners and deadlines. Review previous action items at the start of each meeting to ensure accountability.
